The Customer Service Representative (CSR) is the welcoming face of the Port of Newport’s RV Park and Recreational Marina, creating strong first impressions through prompt, courteous, and accurate service. From greeting guests to answering questions and coordinating reservations, the CSR ensures every interaction reflects the Port’s commitment to exceptional hospitality.
CSRs manage all aspects of transient moorage and RV park reservations, including booking and confirming stays, registering guests, maintaining site and slip records, issuing permits and licenses, collecting payments, and ensuring compliance with required moorage insurance and agreements. Efficiency, attention to detail, and a friendly, professional approach are essential to success in this role.
Essential Functions (Major Duties)
The Customer Service Representative supports the daily operations of the Port of Newport’s RV Park and Recreational Marina by delivering exceptional guest service and ensuring smooth, accurate administrative processes.
Guest Services & Reservations (Primary ~70%)
Essential:
- Maintain accurate daily operations of the RV Park and Marina.
- Make and confirm daily, weekly, and monthly reservations via phone, email, online systems, and in person.
- Manage the full reservation cycle, including responding to inquiries and processing cancellations and modifications.
- Greet and register guests, including non-preregistered visitors, and assign RV sites and transient moorage slips.
- Prepare daily reservation tags and maintain up-to-date digital customer files.
- Collect and process payments, perform cashier duties, run reports, and prepare daily deposits.
- Promote goodwill by maintaining a courteous, friendly, and helpful demeanor with guests, coworkers, and management.
Non-Essential:
- Answer questions related to reservations, registration, and travel directions.
- Provide local area knowledge to guests.
Administrative & Operational Support (Secondary ~25%)
Essential:
- Communicate with operations and maintenance staff to support timely responses to guest needs.
- Prepare, organize, and maintain accurate paperwork, contracts, and files (electronic and physical).
- Process license applications.
- Ensure compliance with required moorage insurance and license agreements.
- Scan and upload materials into the reservation system for quick reference.
Non-Essential:
- Listen to and respond to customer feedback or concerns, document issues, and elevate matters to the appropriate supervisor or department personnel.
- Report accidents or injuries to senior management immediately.
- Assist with general housekeeping to maintain clean reception and common areas.
- Maintain a neat, professional appearance and organized work area.
Other Duties (As Assigned ~5%)
- Perform additional tasks that support the efficient operation of the RV Park and Recreational Marina.
